Day 1 · Thu 13 May

Arrivals, kick-off and shared direction

09:00Suggested early-arrival window: flights land at Humberto Delgado Airport; we recommend pre-booked vans or Bolt/Uber for the roughly 25-minute run into Lapa.Lisbon Airport (LIS)
10:30Rolling check-in and luggage drop; early rooms can usually be requested for a portion of the group, with a quiet lounge corner for those arriving before rooms are ready. The Emerald House Lisbon, Curio Collection by Hilton
12:00Light standing lunch — think bacalhau croquettes, salads and pastéis de nata — to let people arrive at their own pace and greet colleagues from the other offices. The Emerald House Lisbon, Curio Collection by Hilton
13:30Formal kick-off: leadership frames the year ahead, the four offices each give a short 10-minute state-of-play.The Emerald House Lisbon, Curio Collection by Hilton
15:00Coffee break with Portuguese pastries on the terrace, weather permitting. The Emerald House Lisbon, Curio Collection by Hilton
15:30Working session in four mixed-office groups on the draft annual priorities; each group drafts what it would cut, keep and add.The Emerald House Lisbon, Curio Collection by Hilton
17:15Day one wrap and park the open questions on a visible board for tomorrow; then free time to settle in or walk down to the river. The Emerald House Lisbon, Curio Collection by Hilton
19:00Optional short walk or 10-minute transfer to dinner — Cais do Sodré and the Time Out Market area are an easy alternative if you prefer something informal.Cais do Sodré
19:30Welcome dinner with mixed seating plans so nobody sits with their own office; a private room or terrace booking is worth requesting early for 45.Verride Palácio Santa Catarina
22:00Optional nightcap at the rooftop bar, or stroll back through Bica for those who want an early night.Verride Palácio Santa Catarina
Day 2 · Fri 14 May

Decisions, trust-building and departures

07:30Breakfast, with an optional 30-minute walk along the Tejo waterfront to Santos for anyone who wants air before the day.The Emerald House Lisbon, Curio Collection by Hilton
09:00Plenary: each group presents last night's priorities; leadership converges them into one draft plan. The Emerald House Lisbon, Curio Collection by Hilton
10:45Coffee break and informal cross-office catch-ups.The Emerald House Lisbon, Curio Collection by Hilton
11:15Decision session: lock owners, quarterly milestones and the handful of things we will stop doing; a visible commitments board works well here. The Emerald House Lisbon, Curio Collection by Hilton
13:00Seated lunch, ideally outdoors in the garden courtyard. The Emerald House Lisbon, Curio Collection by Hilton
14:30Afternoon trust-building block away from the slides — we suggest a guided Alfama walking challenge in mixed teams, or a hands-on pastel de nata and tinned-fish tasting workshop as a weather-proof alternative.Alfama

Recommended ways to travel, not bookings. Check times and costs before you book.

Nearest airport

Humberto Delgado Airport (LIS), roughly 7 km north-east of central Lisbon; usually 20–30 minutes by road to Lapa, longer at peak.

From the airport

Pre-booked minibus shuttles for the groupRecommendedTime 25–35 minutes to LapaCost €90–140 per vehicle (one way)
  • Vans collect at the dedicated pick-up area outside Terminal 1 arrivals.
  • We suggest booking 3–4 eight-seat vans per arrival wave with a local DMC.
  • Best fit for 45 people landing in clusters across the morning.
Private 50-seat coachTime 30–40 minutes to LapaCost €350–500 per coach (one way)
  • Coaches park at the designated bus bay just outside Terminal 1.
  • Worth booking only if most of the group lands within one hour.
  • One vehicle moves all 45 plus luggage in a single run.
Taxi or ride-hailing (Bolt, Uber, FREE NOW)Time 20–30 minutes to LapaCost €15–25 per vehicle (up to four people)
  • Taxis queue outside arrivals; ride-hailing uses the signed app pick-up level.
  • Travellers simply book on arrival, no advance coordination needed.
  • For 45 people expect 12–15 separate cars and uneven arrival times.
Metro (Red Line) plus short taxi or walkTime 40–55 minutes door to doorCost €2–4 per person
  • Metro station sits inside the airport; change at Saldanha or São Sebastião.
  • Buy a rechargeable Navegante card at the machines before boarding.
  • Cheap, but awkward with luggage and no direct line to Lapa.
Aerobus / Carris 744 or 783 busTime 35–60 minutes plus transferCost €2–4 per person
  • Departs from the kerb outside Terminal 1 arrivals every 20 minutes.
  • Tickets on board or via app; no reservation needed for small numbers.
  • Reasonable for budget solo arrivals, slow and crowded for larger groups.
Train arrivals via Santa Apolónia or Oriente stationTime 15–25 minutes to LapaCost €12–20 per taxi; €80–120 per minibus
  • Relevant for anyone coming from Porto, Madrid or the Algarve by rail.
  • Pre-book a van or take a taxi from the station rank.
  • Santa Apolónia to Lapa is about 15 minutes off-peak.

Moving the group

Day 1 · Thu 13 May, from 09:00 — airport arrivals

  • We suggest vans meeting each flight wave at Terminal 1 from around 09:00.
  • Allow 25–35 minutes to The Emerald House Lisbon in Lapa.
  • Rolling check-in and luggage drop opens at 10:30 on arrival.

Day 1 · Thu 13 May, 19:00 — to the welcome dinner

  • Meet in The Emerald House lobby at 19:00 for a short walk or transfer.
  • Verride Palácio Santa Catarina is roughly 10 minutes by car; 2–3 vans would suffice.
  • Walkers can head up via Santos and Bica in about 20–25 minutes.

Day 1 · Thu 13 May, 22:00 onwards — return from dinner

  • Nightcap guests can stay at the Verride rooftop bar after 22:00.
  • We recommend holding 2 vans on standby for the downhill return to Lapa.
  • Others may prefer the 20-minute stroll back through Bica and Santos.

Day 2 · Fri 14 May, 14:30 — to the Alfama activity

  • Depart The Emerald House around 14:10 so teams start in Alfama at 14:30.
  • Three or four vans cover the 20–25 minute run across the city.
  • Alternatively tram 25 plus 28 works, but is unreliable for 45 people.

Day 2 · Fri 14 May, around 16:30 — Alfama back to base

  • Vans collect teams near Largo das Portas do Sol at about 16:30.
  • Allow 25 minutes to be seated for the 17:00 closing circle.
  • If the workshop alternative runs on site, no transfer is needed.

Day 2 · Fri 14 May, 18:30 — staggered departures

  • Luggage comes from the storage room; first vans leave at 18:30.
  • Allow 45 minutes to LIS in evening traffic, longer at peak.
  • Those staying on can transfer to Príncipe Real for the 19:30 farewell dinner.

Good to know

  • 1Lisbon traffic peaks roughly 08:00–10:00 and 17:00–19:30; add 15–20 minutes to any airport run.
  • 2Lapa's steep cobbled streets are hard on wheeled luggage and limited mobility — vans should drop at the door.
  • 3A Navegante card (€0.50 plus credit) covers metro, tram and bus for anyone exploring independently.
  • 4Occasional transport strikes affect metro and Carris; pre-booked vans keep the programme insulated.

  • 1 Mid-May is usually 18–24°C and sunny, but evenings by the river get breezy — advise a light jacket and, above all, shoes with grip: Lisbon's calçada pavement is beautiful and very slippery.
  • 2Getting around: Uber and Bolt are cheap and plentiful; for 45 people, pre-booked minibuses are far more reliable than taxis at peak. The Emerald House sits in quiet Lapa, so allow 10–15 minutes to Baixa or Chiado.
  • 3Money and tipping: euros, cards accepted almost everywhere including small cafés. Tipping is modest — rounding up or 5–10% for good restaurant service is plenty; no tip expected for coffee.
  • 4Meal times run late: lunch from 13:00, dinner rarely before 20:00. Groups of 45 need private rooms booked well in advance, and most kitchens want a set menu agreed beforehand.
  • 5A few words go a long way: "bom dia", "obrigado" (men) / "obrigada" (women), "uma bica, por favor" for an espresso. English is widely spoken in the centre.
  • 6Lisbon is very safe, but pickpocketing is common on tram 28, in Baixa and at busy viewpoints — remind the group to keep bags in front and phones away on crowded trams.

Dress is smart casual for both days and for the dinner. May in Lisbon is warm in the day and cooler in the evening, so bring a light jacket. Before you travel If your dietary needs or travel times have changed, tell us now so catering and transfers are correct. On the day Call [contact name] on [contact phone] for anything: late flights, hotel problems, or if you cannot find the room.

  1. 1Why The Emerald House Lisbon rather than one of the other shortlisted hotels?

It holds the plenary, breakouts, meals and bedrooms in one building in Lapa, so nobody moves between sites.

    • Rated 4.5 stars, R. das Janelas Verdes 130, central Lisbon.
    • Olissippo Lapa Palace is 300 m away for overflow rooms.
    • Four Seasons Ritz is the fallback if the plenary room is too small.
  2. 2Will the €25,000–€50,000 budget cover this?

It is tight: the realistic range is €31,450–€60,400, about €1,021 per person, so you need to cut or raise the cap.

    • Rooms alone are €6,750–€11,250 for 45 rooms on 13 May.
    • Facilitator is €4,000–€9,000 for two days plus design.
    • Hold the dinner at the hotel instead of Verride to save up to €3,000.
  3. 3What happens if the headcount changes?

Final numbers and the rooming list are confirmed 30 days out, on 13 April 2027, with unused rooms released before the contract deadline.

    • Check the release and cancellation dates in writing when signing in December 2026.
    • Catering runs €60–€90 per person per day, so each change moves the budget.
    • Ask The Emerald House how many of the 45 rooms it can hold itself.
  4. 4How do I get to the hotel from Lisbon airport?

Pre-booked vans meet each flight wave at Terminal 1 from 09:00; allow 25 to 35 minutes to Lapa.

    • Humberto Delgado Airport is about 7 km from the centre.
    • Bolt or Uber costs €15–€25 per car if you arrive outside a wave.
    • Traffic peaks 08:00–10:00 and 17:00–19:30; add 15–20 minutes.
  5. 5What do the two days actually look like?

Day one starts with lunch at 12:00 and the kick-off at 13:30; day two runs 09:00 to the 17:00 closing circle.

    • Mixed-office groups draft annual priorities on Thursday afternoon.
    • Welcome dinner at 19:30 on 13 May with mixed seating.
    • Friday afternoon is an Alfama trust-building block from 14:30.
  6. 6What should I bring and wear?

Smart casual for both days and the dinner, plus a light jacket for the evening and shoes with grip for Lisbon's cobbles.

    • Bring your laptop, charger and an EU adapter if travelling from London.
    • Mid-May is usually 18–24°C and sunny, cooler by the river.
    • Bring your team's current plans and numbers for the year ahead.
  7. 7Is my hotel room and travel paid for?

Northwind covers the venue, facilitator, all meals and one room on 13 May; you book and expense your own flights.

    • Room budget is €150–€250 per night, booked under your name.
    • If you arrive on 12 May, book and claim that night yourself.
    • Airport transfers are shared vans; extras at checkout are yours.
  8. 8What exactly do you need from a venue for 13–14 May 2027?

One plenary room seating 45 cabaret for two full days, two or three breakout spaces, and 45 rooms for the night of 13 May.

    • Catering: two lunches, four coffee breaks, and a seated dinner on 13 May.
    • AV: screen, projector, PA, two radio mics and a technician both days.
    • Natural daylight in the main room and step-free access confirmed.
  9. 9How are dietary needs handled for the dinner and lunches?

Several attendees have vegetarian, gluten-free and similar needs; collect all 45 by 1 April 2027 and send the list to the kitchen.

    • Ask for labelled plated dishes rather than a shared buffet.
    • Recheck the list against each service during both event days.
    • Wine and beer at dinner only, with a limited tab and 23:00 bar close.
  10. 10How will we know the offsite worked?

Three to five named decisions with owners and quarterly milestones, agreed in the Friday closing session and sent to all 45 within 48 hours.

    • Agree the named decisions with the leadership sponsor before booking the facilitator.
    • Friday 11:15 decision session locks owners and what you stop doing.
    • A short feedback form follows, asking what to change for 2028.

The €25,000–€50,000 budget is tight for 45 people with one hotel night in Lisbon city-centre at €150–€250 per room. Rooms alone can reach €11,250 before venue, catering, facilitator and dinner.

Build a line-by-line budget now at the €150 room rate, cap the facilitator fee at about €6,000, and ask the hotel for a single all-in day delegate rate.

  • If the total exceeds €50,000, cut the external dinner venue and eat at the hotel.

Mid-May is high season in Lisbon. Boutique hotels and private estates with a room for 45 people and a 45-bed block sell out 6–9 months ahead, and rates rise.

Shortlist five venues this month, hold two options by 15 December 2026, and sign with a fixed room rate and a release date no earlier than 1 April 2027.

Flights from Berlin, Amsterdam, London and Warsaw arrive at different times on 13 May, so the first workshop starts short of people and the alignment work has to be repeated.

Set a hard start time of 13:00 on day one, tell all four offices to book arrivals before 11:30, and put only a welcome and context session before lunch on day two's agenda instead.

The stated goal, agreeing the year plan and building trust across four offices, is too much for roughly one and a half working days, so you leave with discussion but no decisions.

Agree three to five named decisions with the leadership sponsor before booking the facilitator, give each one a timed slot, and end day two with a 45-minute session naming owner and date for every item.

The outside facilitator may not fit a four-country leadership group or may not know the material, which wastes the main cost of the event.

Brief and contract the facilitator by January 2027, run a one-hour design call plus a dry run in April, and interview six to eight attendees across the four offices beforehand.

Several dietary needs across 45 people are easy to get wrong at a team dinner, and someone ends up with no suitable plate.

Collect names and needs in one form by 1 April 2027, send the list to the hotel and dinner venue two weeks out, and ask for labelled plated dishes rather than a shared buffet.

Group transport is only partial, so some people pay for taxis, arrive late to dinner, or get lost in city-centre streets.

Decide which legs you cover, pick a dinner venue within a 15-minute walk of the hotel, and send each attendee a one-page travel sheet with airport transfer options and a meeting point.

Alcohol at the team dinner plus a 09:00 start on day two reduces the quality of the second day, which is where decisions land.

Offer wine and beer with dinner on a limited tab rather than a free bar, close the bar at 23:00, and start day two at 09:30 with a working session rather than a presentation.

AssumptionYou need 45 single rooms for the night of 13 May, since the brief says employees only and one hotel night.
TipAsk each venue for a plenary room that seats 45 in cabaret plus two breakout spaces, because workshops and group exercises will not work in one room.
AssumptionNo accessibility requirements were flagged, but ask again on the registration form in case something changes before May.
TipBook the screen, projector and two radio microphones through the venue in writing, as the agenda includes slides, videos and a speaker addressing the whole room.
TipSend the agreed decisions and owners to all four offices within five working days of 14 May, while people still remember the discussion.
